Executive Director Responsibilities:

• Answer phone and respond to emails (including email communication with committees and board)
• Maintain office space for storing of documents, establishing phone, etc.).
• Maintain online database of association documents via Google Drive.
• Maintain membership database (e.g. update membership dues renewals, update membership information, identify CVM student representatives and college liaisons).
• Financial management (e.g. maintain back accounts, collect and process dues renewal and donation payments, manage investment funds, manage accounts payable for all expenses, provide monthly account reconciliation with treasurer, provide board and membership with financial reporting, work with accountant for tax filing, create an annual budget, etc.).
• Purchase Directors’ and Officers’ insurance policy.
• Monitor applications and process payments for veterinary student externship (Sam Guss) funding requests.
• Manage Sam Guss funding donations (e.g. keep in restricted fund account, send “thank you” letters to donors, etc.).
• Create and distribute monthly electronic newsletter (Bugles and Orgles).
• Submit documents to editor for quarterly newsletter (Wool and Wattles) and distribute (both electronically and snail mailing, maintain online archive).
• Manage executive documents (e.g. board meeting minutes, Executive Director report, AASRP committee rosters, CVM college liaison rosters, new members list, externships funded, Sam Guss donors list, Sam Guss externship reports, etc.).
• Manage AASRP Facebook page and create postings.
• Manage monthly Webinars (e.g. speaker agreements, RACE approval, honorarium payment, webinar recording and uploading to CE portal, create announcements, issue and store CE certificates, etc.).
• Manage monthly AASRP board meetings (e.g. submit board agenda files, create Zoom link for board and manage, take meeting minutes, etc.).
• Monitor terms for directors, officers and committee chairs/members.
• Monitor for advocacy for small ruminant issues on state and federal level providing information to the board.
• Assist with management of embryo transfer seminar (e.g. create registration page, collect revenue, issue CE certificates, provide name badges).
• Manage AVMA Committee and House of Delegate representatives and AVMA annual membership reporting.
• Work with current association management during management transition (October through December 2022) and be fully engaged by January 1, 2023.
• Transfer current website and association management system database to new system not later than Q2 2023.

Requirements:

• Association management skills (e.g. website software).
• Capable in financial management software (e.g. QuickBooks, PayPal).
• Exceptional leadership, interpersonal, collaboration, and communication skills.
• Superb creative, analytical, and problem-solving abilities.
• Excellent organizational and time management skills.
• Transparent financial management.

Preferred Qualifications:

• Certified Association Executive (CAE) certification
• Previous association management experience
